This is an excellent opportunity to join a growing commercial real estate and development organization as the Administrative Assistant with PBA Land & Development.  With a focus on long term developments and relationships this role will require an experienced and results driven individual with exceptional skill sets in communication, project management, multi-tasking and organization.

The Administrative Assistant will report directly to the senior leadership and will assist in management support, scheduling, calendar management, CRM organization, meetings and general administrative tasks.  This role will require a strong organizational skill set and an understanding of commercial development and construction.   The role will involve interacting with investors, political offices, tenants and clients within the office and will work with stakeholders throughout the development process. There will be some Human Resources support with the role which will include aspects of onboarding new hires, team building activities, processing vacation requests and acting as the Office Health and Safety (Fire Marshall) for the company.
 
There are several office and administrative tasks that are involved in the position which include the following tasks;
  • Track, manage and approve cell phones, renewals and equipment upgrades
  • Manage inventory of supplies for lunchroom as required
  • Provide relief support for the Leasing Assistant and Executive Assistant as needed
  • Manage digital files, CRM maintenance, general office projects and mail distribution
  • Maintenance of meeting minutes, binders, board packages and other confidential material
  • Assist in working with IT and staff IT issues as they are required
  • Provide software and presentation support with the use of Microsoft Office Suite with proficiency in Word, Powerpoint  and Dropbox
  • Provide assistance with meeting agendas/minutes

This candidate will ideally have the following qualities;
  • 5+ years’ experience working as an Administrative Assistant
  • Experience working with a developer, contractor or commercial real estate law firm
  • Excellent experience working with an Executive leadership team in a busy environment
  • Strong experience with Microsoft Office Suite
  • Excellent skill set with organization, multi-tasking and attention to detail
  • Experience preparing documents, meeting packages and presentation reports
  • Accounting and budgeting experience and development of reports an asset
  • Inventory and office supply management experience
  • Strong communication and presentation skills
