Our client has asked us to find a high energy, motivated, ambitious individual who is really good at making sure the office hums along like a well oiled machine and also possesses the mindset of an operations manager. They are in the creative construction business and have been for many years. They know what it takes to operate at a high level and they have a portfolio of highly satisfied customers to back that up.

You are the type of person who understands your job. You understand how to do your job at the same high level and you also are willing to do things that don't necessarily show up on your job description. They have surrounded themselves with team players; players who will drop what they're doing to take care of a situation that needs taking care of, just because it needs taking care of.

This is a senior role but it requires of you the understanding that the door is not just where you enter the building; it's also where you check your ego. There are no work to rule options here. Everything that gets done is done for the common good.

Job duties;
  • Manage incoming e-mail. Distribute as required.
  • Answer incoming calls, filter by priority and ensure that the proper individuals are notified.
  • Utilize filing system accurately and efficiently. Regular cull of unnecessary or redundant files.
  • Review and approve supply requisitions, using company guidelines.
  • Delegate clerical functions to appropriate personnel.
  • Ensure that company records are handled and archived accurately including proper and timely disposal when required.
  • Monitor the overall efficient operation of the office function by ensuring that office layout is conducive to efficiency and that all required equipment is operating properly.
  • Implement and monitor office policy’s ensuring compliance while achieving measurable results.
  • Regular and consistent monitoring of office activity.
  • Work closely with all management by communicating relevant information in a timely fashion.
  • Identify and leverage market trends.
  • Coordinate Social Media efforts.
  • Maintain efficient staffing levels; hiring and disciplining when required.
  • Create and execute a training plan for the on-boarding of new hires.
  • Regular monitoring of new hire progress. Identify areas of weakness and coaching opportunities.
  • Coordinate weekly, monthly marketing campaigns.
  • Record and print weekly employee time sheets.
  • Work with the executive to effectively manage the construction divisions projects. May require the ordering of project materials and coordinating with project crew leaders.
  • Establish daily communication with customers regarding satisfaction, progress etc.
  • Banking duties as required.
  • Participate in the annual budget process.
  • Anything else we can think of.
Post secondary degree or diploma in business or relevant would be an asset.
Several years relative experience also would be nice.
