Executive Assistant/Office Administrator
Reporting to the President & CEO, the Executive Assistant contributes to the efficient day-to-day operations.
Hybrid (Langley office/home/site visits)
$50-75,000 base depending on experience


RESPONSIBILITIES
The Executive Assistant/Office Administrator is required to perform a range of duties including, but not limited to:

OFFICE ADMINISTRATION
  • Provide project administrative support to management
  • Calendar Management
  • Run errands, book appointments as necessary
  • Preparation, editing and issuance of invoices, contracts and other documents as required
  • Setting up and posting job opportunities
  • Social media management
  • Sort incoming mail, and deliveries for distribution
  • Prepare and send outgoing mail, and packages
  • Monitor incoming general e-mails
  • Relay voice mail, general inquiries
  • Data entry and upkeep of the organization's databases, ensuring a high level of accuracy
  • Responsible for booking the meetings, appointments and events as required
  • Maintain the maintenance records/logs for Corporate Automobiles
  • Maintain and order and pick up office supplies, marketing materials
  • Other duties may be assigned as necessary.
QUALIFICATIONS
  • This is a hybrid role, with 1-2 days in office or as required, must have the capability for a home office set-up and be willing to travel as necessary to run errands.
  • The ability to communicate clearly and professionally in English is required.
  • MUST have a valid driver’s license and own vehicle
  • MUST have a minimum of 4 years of experience
  • MUST have a commitment to attention to detail in all facets of work – this is ESSENTIAL.
  • Advanced Proficiency in the use of computer programs for: Microsoft Office Suite (Word, Outlook, Excel & One Note, Database Management & Internet
  • Proficiency in the use of office equipment:
  • Computer, Voice messaging systems, Fax, Photo copier
The Executive Assistant/Office Administrator will demonstrate competence in the following areas:

Relationships: Maintain positive working relationships with others, both internally and externally.
Communication: Excellent oral and written communication skills.
Needs Assessment: Anticipate, understand, and respond to the needs of the President and other clients as required to meet or exceed their expectations.
Teamwork: Work cooperatively and effectively to set goals, resolve problems, and make decisions to enhance organizational effectiveness; ability to undertake self-directed tasks when necessary.
Organization: Excellent time management skills; attention to detail; the capacity to prioritize by assessing situations to determine urgency; ability to develop a work schedule, set goals, create / implement actions plans and monitor progress towards goals; and ability to make clear, timely decisions in office or working hybrid.
